What you enter in one of our forms (valuation, viewing, callback, contact, registering your search, private sales, a review, or the insider tips download): usually your name, email address, phone number and message
If you create an account: your name, email address, your password (stored only in scrambled form), and the homes, searches and property alerts you save
What you type into the property search or ask our site assistant
Your IP address, browser and device type, which our servers need to send you the pages and to keep the site secure
Visit statistics, counted without cookies and without identifying you (see Section 10)

b. From sellers and buyers

Full name, address, phone number, email address
Identity documents and proof of address, for the anti-money laundering checks the law requires
Property details, offers, and the progress of a sale

c. From tenants and landlords

Full name, address, phone number, email address
Employment and financial details (e.g. for referencing or rent collection)
Identity documents (passport, driving licence)

4. How we use your personal data

We use your data for the following purposes:

5. Lawful basis for processing

We rely on the following lawful bases under the UK GDPR:

Contractual necessity: to provide services to you, including your website account
Legal obligation: for compliance with HMRC, AML regulations, etc.
Consent: for marketing communications (opt-in only)
Legitimate interests: for answering enquiries, business improvement, website security and visit statistics, and fraud prevention

We may share your data with:

Tenancy referencing and credit check providers
Deposit protection schemes (e.g. TDS, DPS)
HMRC, law enforcement, or regulatory authorities
Contractors and tradespeople providing services to properties
IT and software service providers (e.g. CRM, email)

The service providers that run our website are:

Property Web Design Pro, who build and host the website, the property database behind it (Property Manager Pro) and our visit statistics (Umami), on servers in the UK and the European Union
Amazon Web Services, which delivers the website’s emails from Ireland
Google, which provides the maps, the fonts the website uses and our place and postcode lookups. Your browser contacts Google directly to load the fonts on every page and the map on listing and property pages, so Google receives your IP address.
Anthropic, which provides the artificial intelligence behind the property search and our site assistant. What you type there is sent to Anthropic to produce the answer, so please do not include personal details you would rather not share.

If you use voice search, your own browser turns your speech into text. In some browsers, such as Chrome, the browser’s maker does this on its own servers.

We ensure all third-party processors comply with data protection laws and only process your data under our instructions.

7. International transfers

Most of your data is stored in the UK or EEA. Google and Anthropic are based in the United States. Where your data is transferred outside the UK/EEA, we ensure adequate safeguards (e.g. UK adequacy regulations or the UK International Data Transfer Addendum).

8. Data retention

We retain your personal data for:

5 years after our business relationship ends for identity and anti-money laundering records, which are then deleted unless the law allows us to keep them
6 years after the end of a tenancy or contract for other records (to comply with financial and legal obligations)
As long as your website account is open: you can delete your account yourself at any time
12 months for marketing consents, unless renewed
Until no longer required for reference, compliance, or service provision

Under UK GDPR, you have the following rights:

We use technical and organisational measures to protect your data, including encrypted devices, password-protected systems, and secure storage.

12. Marketing communications

We will only send marketing communications where you have actively opted in. You can unsubscribe at any time via email or by clicking “unsubscribe” in our emails.
